 DUTIES:
1. General clerical duties including telephone skills, typing/word processing, filing, and office organization.
2. Greet visitors, staff, and students in a professional and accommodating manner.
3. Collate materials.
4. Organize materials for mailings.
5. Open and distribute mail.
6. Other duties as required by department Administrator.

QUALIFICATIONS:
1. High school diploma or equivalent GED.
2. Office experience preferred.
3. Ability to handle confidential material appropriately.

LOCATION OF POSITION:  Monroe One BOCES; Business Office

TERM OF EMPLOYMENT:  12 Month Position, Full Time - 8 hours per day

STARTING DATE:  June 1, 2019

POSITION SUMMARY:
Staff position reports directly to the Treasurer and is responsible for billing the services performed by the BOCES to our Components, Other districts in Other BOCES, and Rochester City School District. 

DUTIES:
1.  Create all billing in WinCap for Contract and Non Contract services.
2.  Interact with many departments and school districts to answer questions and   resolve any billing issues.
3.  Maintain an efficient schedule to import and/or enter billing data on a monthly basis.
4.  Process Contract billing monthly and scan/email to districts.
5.  Maintain an organized workspace.
6.  Prepare Transportation Contracts.
7.  Process Other BOCES bills for payment.
8.  Process Cross Contracts forms from Other BOCES as needed.
9.  Process ESY billing on an annual basis.
10 .Process High Cost Stac Amendment Reports.
11. Other duties as assigned by the Treasurer or Assistant Superintendent for Finance and Operations.

QUALIFICATIONS:
1.  Civil Service eligibility as a Clerk I: Graduation from high school or possession of an equivalency diploma, plus EITHER:

A.  Four  (4)  years  of  paid full-time  or  its  part-time  or  volunteer  equivalent  office  clerical or secretarial experience; OR,

B.  An Associate's degree in Secretarial Science, Office Technology or a closely related field, plus two (2) years of experience as described in (A) above; OR,

C.  Any equivalent combination of education and experience as defined by the limits of (A) and (B).

NOTES:  Successful completion of one (1) year of college coursework (or 30 semester credit hours) from a New York State registered or regionally accredited college or university may be substituted for up to one (1) year of the required experience.

Experience as a Teller, Cashier or Sales Clerk, shall not be considered office clerical experience.

2.  Excellent verbal and written communication skills a must. 
3.  Excellent attention to detail, organizational skills and follow-up ability. 
4.  Proficient in finance software systems.  WinCap preferred.
5.  Ability to work independently, be proactive, meet deadlines, make appropriate decisions, be versatile, adapt to a variety of circumstances and exhibit effective problem solving skills.
6.  Skilled in PC Applications: Microsoft Windows, Word, and Excel.
7.  Five to ten years of clerical experience required.

Anticipated Opening - Senior Account Clerk/Related TitleSAC/BUS 031219

LOCATION OF POSITION: Monroe One BOCES, Business Office

TERM OF EMPLOYMENT: 12 Month Position, Full Time - 8 hours per day

STARTING DATE:  June 17, 2019

DUTIES:
1.  Prepare deposits daily for the bank and enter Cash Receipts into WinCap.
2.  Maintain all Student Activity Accounts/Notebooks as Central Treasurer.
3.  Maintain security of the safe and its contents.
4.  Balance cash on a daily basis using online banking and WinCap.
5.  Take in cash and checks from many departments and clubs on a daily basis.
6.  Create bank transfers and ACHs as needed through online banking.
7.  Send check issues (Positive Pay) to the bank as needed.
8.  Balance Monroe One BOCES Foundation Grants’ expenses and billing.
9.  Provide information to auditors internal and external as needed.
10. Maintain an organized work environment.
11. Process and submit NYS Sales Tax on a quarterly basis.
12. Prepare the Final Cost Reports for all Capital Projects.
13. Work closely with the Treasurer and Accountant.
14. Cross-train with co-workers on various duties.
15. Assist with other duties when necessary.

QUALIFICATIONS:
1.   Civil Service eligibility as a Senior Office Account Clerk: Graduation from high school or possession of a high school equivalency diploma, plus EITHER: 

  1. Two (2) years of paid full-time or its part-time equivalent work experience in account keeping, bookkeeping, or financial record keeping; OR,
  2. Graduation from a regionally accredited or New York State registered college or university with an Associate's degree in Accounting, Business Administration, or closely related field, plus one (1) year of work experience as described in (A); OR,
  3. Graduation from a regionally accredited or New York State registered college or university with a Bachelor's degree in Accounting, Business Administration, or closely related field; OR,
  4. Any equivalent combination of training and experience as defined by the limits of (A), (B), and (C).

2. Accounting experience required, school district accounting experience, preferred.
3. Computer experience necessary, Windows and Excel experience, required.
4. WinCap knowledge preferred.
5. Strong interpersonal communication skills with both peers and administrators.
6. Evident teamwork experiences through past positions, preferred.
7. Accuracy and attention to detail required.
8. Physically able to perform essential functions of the position (with or without reasonable accommodation).
